Things have changed for checking out cameras, digital video recorders, and other media equipment at Media Services, in terms of systems, policies and procedures.
What's in it for me, you may ask.
We have a new database system called WebCheckout, which will make checking out equipment easier and more efficient on both sides of the desk.
Because this system will allow us to better maintain our inventory and to better implement our policies, Media Services is pleased to announce that loan periods will be expanded from 3 days to 7 days. Equipment will be due by 3:00 pm on the seventh day of each loan.
We will be enforcing these extended loan periods through a strict fine policy to ensure that equipment is available for you when you call for it. Borrowers with overdue equipment will receive automated notices both that equipment is overdue and that fines are accruing.
Prior to this new system, communication regarding late equipment and accrued fines was done manually, and therefore fines were seldom charged. Now, with WebCheckout, when equipment is late, an automated email will be generated daily asking that the equipment be returned, listing the accrued fine, and with instructions about how to pay the fine. For more information on the Technology Fine Policy please see http://my.simmons.edu/technology/media/equipment/fine-policy.shtml.
We are thrilled to be able to provide our customers with the additional benefit of longer loan periods and more assurance that equipment will be available when it is reserved. As with any new technology, we ask that you bear with us while we transition from the old system to our new WebCheckout system.
Please let us know if you have any questions or suggestions. You may contact Media Services at 617.521.2765.
