Announcing New Student Time Sheets

The Payroll and Benefits Office is pleased to announce the introduction of an electronic version of the student timesheet. It can be downloaded from our website at http://my.simmons.edu/services/finance/payroll/studenttimesheets.shtml.

This time sheet has been designed to streamline your efforts in completing your bi-weekly student payroll. You will have convenient access to student time sheets at any time and from any computer. Automatic calculation of total hours and gross pay is another time-saving efficiency. Please note these forms cannot be sent electronically. After you print the time sheet, you will still have to ask the appropriate supervisor to sign the completed form and make sure it reaches the Payroll Office (W-105) by the deadline listed on the student payroll schedule.

The information required in this file are the same as the existing time sheets. For example:

-The two week pay period corresponding to the student payroll schedule (on the same website) must be indicated at the top of the form and this changes to correspond to each new pay date.
-Indicate the department name and budget number.
-The form accommodates 15 student names (alphabetical order please). If more than 15 students work in your department, use additional sheets.
-There are three separate files:
G student time sheet.xls is to be used for general employment students only.
W ON student time sheet.xls is to be used only by work-study on-campus students.
W OFF student time sheet.xls is to be used for work study students working off-campus.
-Rates of pay must be entered. Please use separate lines for each rate of pay.

You may begin using the new time sheets immediately. All paper time sheets you currently have can be discarded. All Excel time sheets that you may have been using in the past are also to be discontinued. As always, if you have any questions regarding the student payroll process, please refer to the Payroll and Benefits website or call ext. 2013 for work study students or ext. 2015 for general students.
