College Services Unavailable due to Tech Upgrade

Over the coming Memorial Day weekend and into the week following, our core system, Datatel’s Colleague, will be out of service for a major upgrade. This means that many, mostly administrative, services will not be available because the offices will not have the computer systems needed.
The AARC system will not be available to provide students, faculty, or staff with information. So for example, scheduling information will not be available, nor will you be able to update personal information, and faculty will not have access to advisee information.
No offices will be able to run reports on the college systems, such as admissions and student information. Offices will be unable to access or change information.
General financial processes, such as budget look-up, transfers, journal entry processing, financial reporting, and account creation will not be possible for the financial offices or departmental users. We will also not be able to look up student account balances during this time.
Human Resources will not be able to enter data for new hires, which includes the creation of network and email accounts. Nor will HR be able to perform employee verifications or status changes.
Purchasing and Accounts Payable Office
In order to allow time for processing orders for goods and services, please submit purchase requisitions no later than Thursday, May 24. Requisitions received after the deadline will be processed as soon as the system is up on May 31. In cases of emergency purchases during our shutdown, please contact LaTanya Maxwell at x2066.
The last check run before system shutdown will be Friday, May 25. We hope to process payments due with little inconvenience to our customers. As usual, Faculty/Staff reimbursements for $100 or less may be processed at the Cashier’s Window. It is recommended that if you have a special check request to be processed in this last check run, please contact Stephanie Price at ext. 2006 no later than Thursday, May 23.
