CUSTOMER SERVICES ASSISTANT,INTERLIBRARY LENDING AND BORROWING (Library Assistant II)Document Services

This is a two year term appointment.

The MIT Libraries is seeking an enthusiastic and service-oriented individual to contribute to the work of the Libraries’ Document Services Department. This position provides the opportunity for using and developing myriad library skill sets related to public services, document delivery, interlibrary lending and borrowing, and is an excellent opportunity to gain experience in a dynamic academic library setting.

RESPONSIBILITIES: Under the direction of the Document Services Librarian, the Customer Services Assistant participates as a member of the service teams for document delivery/interlibrary loan (25 hours per week) and interlibrary borrowing (10 hours per week). As a member of the document delivery team, the Assistant receives orders, verifies citations and responds to inquiries; handles over-the-counter purchases and customer service interactions, including library cards and copy cards; uses the library catalog, MIT’s DSpace repository, and other sources to locate MIT Publications; and enters orders and prepares invoices using Microsoft Access and the ILLiad Interlibrary Loan Management System. S/he maintains database records and paper files; balances cash drawer receipts; and enters credit card transactions in an e-commerce system. S/he also delivers MIT Theses and other documents to patrons electronically and retrieves materials from library locations occasionally. As a member of the interlibrary borrowing team, the Customer Service Assistant verifies citation and location information for materials using electronic sources like World Cat, Google Scholar and other databases, as well as printed sources. S/he generates borrowing requests using OCLC’s ILLiad and World Cat Resource Sharing systems or other electronic means, prepares manual requests to lenders, purchases documents from commercial document suppliers, maintains electronic and manual records, and processes incoming and outgoing borrowed materials. The Customer Services Assistant also assists with special projects as needed.

QUALIFICATIONS: Required: Minimum 6 months direct/related experience that provides some understanding of library functions; post-high school education can count toward experience. Strong customer service orientation. Tact and good judgment in working with customers. Excellent interpersonal and communication skills, and ability to work effectively and collaboratively as part of a service team. Must be well organized and able to work with minimum supervision in an environment that requires balancing multiple tasks. Ability to set and manage priorities and to meet deadlines. Demonstrated punctuality and ability to work in a demanding, flexible environment. Solid working knowledge of e-mail, document creation and spreadsheet software and with use of the Internet, as well as a willingness and aptitude to learn new systems. Physical stamina to move and shelve books and other library material required. Candidates are expected to articulate a genuine interest and enthusiasm for the position. Preferred - Experience in database entry (ILLiad or MS Access), MS Word, and Excel. Familiarity with searching online library catalogs (Aleph) and utilizing web-based resources or Interlibrary Loan.

HOURS: 35 hours per week; Monday - Friday, 9:00 a.m. - 5:00 p.m.
