Position General Purpose
As part of a small team located in a separate building from the Preservation Department,
Materials Assistant III will be expected to lead, coordinate and monitor the project of
making enclosures for volumes being prepared for the Library Storage Facility (LSF).
Under the supervision of the Head of Collections Care, the Materials Assistant III is
responsible for creating enclosures and housing library collection materials.
Essential Duties
- Oversees, instructs and coordinates production activities of 2 FTE support staff.
- Coordinates the work of the unit. Serves as a principal source of information for other lead staff and managers involved in other aspects of the project.
- Distributes and monitors work of other support staff.
- Maintains a daily production schedule and statistics for the project.
- Demonstrates processes to other staff and visitors.
- Explains and describes use of specialized equipment.
- Collects, compiles and evaluates time and production data. Prepares reports.
- Identifies and resolves quality problems.
- Responsible for daily maintenance of box-making equipment.
- Maintains inventories of materials and supplies for housing.
- Works with the Head of Collections Care to organize and schedule work to meet deadlines
- Works cooperatively with the Department’s and project’s other lead staff, managers and librarians to ensure the smooth and effective workflow of the box making operations and to accomplish the processing work of the department.
- Sorts incoming materials using predetermined criteria for appropriate housings.
- Operates computerized equipment. Applies thorough knowledge of creating housings, the box-making machine and its software, for the creation of boxes and other appropriate housings.
- Accurately measures materials for creation of housings.
- Creates a variety of housings for library materials using an automated box-making system.
- Assembles housings and places library materials in housings.
- Keyboards and applies call numbers, labels, and barcodes.
- Status tracks all items coming in and leaving assigned work areas. Charges and discharges all titles under search to the appropriate department patron ID card.
- Applies thorough knowledge of policies, procedures, and relevant computer software.
- Makes suggestions for new procedures and policies in related areas.
- Follows project and Department procedures and policies.
- Tracks via electronic spreadsheet personal work statistics monthly via electronic spreadsheet.
- Retrieves and delivers library material.
- Performs other duties as assigned.
- May be required to assist with emergency response operations.
- Successful completion of a background check is required.
Education and Experience
- Eight years of related experience, six of them in the same job family at the next lower level and a high school level education; or six years of related experience and an Associate’s degree; or two years of related work experience and a Bachelor’s degree; or an equivalent combination of experience and education.
- Experience in directing others.
Skills & Abilities Required:
- Excellent computer skills and accurate keyboarding.
- Demonstrated experience with Microsoft Access.
- Good manual dexterity.
- Attention to details.
- Sustained concentration for repetitive tasks.
- Ability to push book trucks and lift heavy materials up to 30 lbs.
- Ability to move pallets of board or other oversized supplies using a hand truck. Ability to push a fully loaded book truck. Ability to lift boxes up to 30 lbs. Ability to stand and/or sit for long periods of time.
- Ability to communicate and work effectively with staff, and in a team setting.
- References must indicate reliable attendance and punctuality, accuracy and attention to detail, self-motivation, and diligent performance. References must also indicate the ability to interact and communicate tactfully and effectively with a wide variety of people, to work efficiently and independently, to organize own work to meet unit goals and priorities, to work under pressure in an environment of change, the ability to participate in setting goals and priorities with fellow team members and the ability to solve a wide range of problems in accordance with established procedures.
Preferred:
- Experience with CAD (computer aided design) software.
- Experience in book repair or bookbinding.
