The Harvard University Library is seeking a Holdings Management Assistant to join the University Archives!

Duties and Responsibilities: The Harvard University Archives (HA) supports the University’s dual mission of education and research by striving to preserve and provide access to Harvard’s historical records; to gather an accurate, authentic, and complete record of the life of the University; and to promote the highest standards of management for Harvard’s current records. As a member of the Public Services unit, the Holdings Management Assistant reports to the Public Services Archivist and works closely with the Holdings Management Associate who provides day-to-day guidance and training on work processes and assignments.
The Holdings Management Assistant supports the activities of the Holdings Management team and is responsible for the following duties: daily circulation of holdings from/to on-site and off-site storage by retrieving and refilling on-site holdings; placing daily retrieval requests for off-site holdings; checking in holdings received from off-site storage; storing and tracking holdings in temporary locations; preparing holdings for return to off-site storage; & troubleshooting circulation problems.
Incumbent also assists with projects to replace storage containers and labels, re configure storage areas and relocate collections, and enter, verify, and update data in collection management systems. Additional duties include: preparation of holdings for transfer to off-site storage; end-processing of publications, dissertations, theses, and prize papers; assisting HM Associate with maintenance of Archives stacks; daily fulfillment of on-site photocopy requests and tracking and transfer of off-site copy orders; assisting with collection-use statistics as necessary; assisting with packing and transferring of new acquisitions; and assisting Adman. Manager with delivery or other small tasks. Education and Job Requirements:
- College degree or equivalent work experience required and three years of direct experience working in an archives or library setting.
- Must be able to work independently, follow complex procedures, and manage multiple tasks in a busy environment with shifting priorities.
- Ability to regularly lift 50-lb. storage boxes.
- One year or more of archives or library special collections experience preferred.
- Proficiency with MS Office software and library information systems like HOLLIS.
- Strong organizational, detail orientation and communication skills preferred.
Location: Cambridge, MA; Full Time: M-F 9am-5pm; Grade 53
