TITLE: CHIEF ARCHIVIST AND RECORDS MANAGER

SUMMARY: Reporting to the Office of the BRA Executive Director/Secretary and Special Assistant to the Executive Director/Secretary and working with Department Heads, the position entails both records management and archival responsibilities. Record management responsibilities include collaborating with BRA/EDIC MIS department, a legal team and department heads to create and implement agency wide policies and procedures for all Agency employees in order to to standardize the retention and storage of both electronic and paper records. Archival responsibilities include hands on supervision of retrieving, appraising, organizing and preserving closed agency records in a state of the art records warehouse. Tasks will include employee training to standardize record retention and file closing procedures and creation of quality control and record retrieval procedures.
Appraise, acquire, arrange, manage and preserve archival materials in compliance with existing regulations and archival policies and procedures which you will assist in creating and implementing.
Maintain BRA Agency materials by BRA division or department, or by name of project or account. Standardize and maintain Boston Redevelopment records in accordance with procedures as needed. Organize closed files and standardize location and retrieval of existing records.
Work with Agency managers to develop protocols for the archiving of emails and paper and electronic documents.
Train staff on the archiving policies and on the use of electronic archiving systems and databases.
Adhere to all City of Boston, BRA and State procedures and guidelines for records management/retention including electronic records and emails.
Train staff, implement and conduct searches for stored information; identify, locate, and retrieve information and materials. Ensure timely response to all information/material requests,
Maintain accurate and up-to-date charge out system. Follow up on charged out materials.
Prepare related monthly statistical reports.
Perform data entry; manage and maintain database for BRA records.
Maintain confidentiality and integrity of all information.
Manually shelf boxes and volumes, retrieve records, lift storage boxes.
Perform other related duties as required.
QUALIFICATIONS: Work requires a Master’s Degree in Library Sciences (MLS) and a Records Management Certificate or equivalent experience. Must have knowledge of electronic and paper records management practices and excellent collaborative skills. Must be comfortable with the latest technology and IT functions and capable of designing and implementing electronic and paper document management system. Must have data entry skills and proficiency with word processing, spreadsheets and database software. Must be self-motivated with the ability to train staff and implement new policies. Must be customer service oriented. Must have no airborne allergies or problems lifting file boxes.
GRADE: 20 HIRING RANGE: $58,527.08 - $70,380.10.
