The Position

Under the supervision of the Senior Archivist for Digital Information Services and Head of the University Archives, the Records Services Archivist is responsible for the selection, appraisal, arrangement, description, and preservation of all formats of official Yale University records, materials documenting the history of Yale, and manuscript collections of Yale related personal papers and organizational records.

Responsibilities

Ensures effective acquisition, description, preservation, future migration, access to and security of university records acquired by the department, especially those in digital form. Arranges and describes university records in accordance with approved plans; screens for potentially sensitive material; weeds extraneous material; and recommends appropriate preservation and conservation procedures. Participates in university records management development activities, including records classification, retention scheduling, and training of staff. Acts as a contact between the University Archives and Yale offices, providing daily in-person, telephone, and written consultation with offices regarding records appraisal according to retention schedules, destruction methods, organizing paper and electronic files, non-permanent records storage options, and the preparation of archival materials destined for the University Archives. Serves on the reference desk and provides primary source research instruction. Participates in the formulation of department policy and procedures. Participates in library-wide planning and committee work as appropriate. Engages actively with professional organizations and literature; keeps abreast of archival trends and developments. May be required to assist with disaster recovery efforts. May be assigned to work on West Campus in West Haven, CT.

Qualifications

Master’s degree from an ALA-accredited program of library and information science. Appointment at the Librarian II level requires a minimum of two years of professional experience and demonstrated professional accomplishment. Appointment at the Librarian III level requires a minimum of 5 years of professional experience and professional accomplishment. Formal archival training or education and/or demonstrated knowledge of archival theory and practice. Graduate education or professional experience in records management practices and techniques (records lifecycle concepts, retention schedules, legal and regulatory compliance, disaster recovery, etc.), records appraisal, and records description. Knowledge of federal regulations concerning recordkeeping requirements for university records. Experience appraising, describing, and preserving archival materials in a variety of formats.

Preferred:

Experience with electronic records and digital preservation issues. Experience in a university archives or university records management operation. Experience providing reference service in an academic repository. Experience managing and analyzing team processes, including establishment of goals, work priorities, and timelines. Supervisory experience and experience training staff. Knowledge of data storage methods, media and security. Ability to provide service to customers with respect, responsiveness, and professionalism. Demonstrated ability to communicate effectively, both orally and in writing. Ability to work independently and collaboratively in a team environment. Demonstrated problem-solving and multi-tasking abilities.
