Signing Authorization

1. How does the signing authorization process work?

  • A list of valid budget codes will be provided to the administrator (VP of Finance Administrative Assistant) at the beginning of the academic year.
  • Administrator will email all department heads to verify existing department number information and to get names of any employees that now have authorization.
  • Responses should be sent electronically to administrator.
  • Administrator will update database based on responses.
  • If a new signature is required, manual process will be used to a get signature on file (See Forms section for the New Authorization Signature Form).
  • Signature will then be scanned and saved to folder on network (handled by administrator).
  • If new department numbers are created, a form must be filled out. Accounting will provide this form and copies will be distributed to VP Finance Administrator, Payroll, AP/Purchasing, and Accounting.

2. How do I get my signature on file?
See the Forms section and fill out the New Authorization Signature form ONLY if you have not had previous signing authority or if you are a new employee.

3. Who do I contact or send my forms to?
Please send forms to the Assistant to the VP of Finance. If you have any questions related to signing authority you may call ext.2870. If your question is related to the budget specifically, please contact the Budget Analyst at ext.2872.

4. How do I get a new Department Number (Budget Code) processed?
There is a New Department Number form that must be filled out. Only Accounting Services can provide this form. All authorized signers must sign this form, since this is a new code and there is no previous record of it. The form is then forwarded on to the Assistant to the VP of Finance and added to the spreadsheet that tracks all codes and signatures.
