Meeting Maker upgrade: Tomorrow night - July 17

Dear Faculty and Staff,

Between 9 and 11 pm on July 17, 2007, tomorrow night, the Meeting Maker server will be upgraded. This upgrade takes care of daylight savings time, and includes changes for users who synchronize a handheld device (e.g. Palm, Blackberry, or smart phone) with Meeting Maker. The server upgrade requires that every desktop or laptop using Meeting Maker must be upgraded. There are no interface changes, so you will not need to change how you use Meeting Maker. Please read on for the effects specific to you.

Web client
As soon as the Meeting Maker upgrade is complete, the web version of Meeting Maker will be available. At http://meetingmaker.simmons.edu, you can do everything with the web client you do with the regular software.

Windows desktops
As always, be sure to shut down your computer when you leave your office each night -- the software upgrade will not take place until your computer has been rebooted. As soon as you turn on your Simmons computer and login after July 17 (and before September 10), the new Meeting Maker software will be available for you to use.

Windows laptops
In order to receive the updated version of Meeting Maker, your laptop must be started up while connected to the Simmons wired network. Between July 18 and September 10, please bring your Windows laptop to your Simmons office, connect to the network using an Ethernet cable, start up your computer, and log in. Until you connect to the Simmons network you can use the web client: http://meetingmaker.simmons.edu.

Macintosh desktops and laptops
In order to update Meeting Maker on Macintosh computers, the Macs must be left on overnight on July 17. The Help Desk has worked with liaisons in departments with Mac users to ensure that the Macs will all be on and will not be in sleep mode when the update is transferred to the computers the night of July 17. If, on or after July 18 you use a Simmons-owned Mac and believe the Mac has not received the update, please contact the Help Desk (617-521-2222, option 8; helpdesk@simmons.edu).

Meeting Maker / Palm / Windows users
Requires Palm OS 4+. No additional action needs to be taken, but we recommend synchronizing before 9pm tomorrow night, so that both Meeting Maker and Palm contain all current data.

Meeting Maker / Palm / Mac users
Requires Palm OS 4+. We know of no users in this situation. However, the Help Desk would need to reinstall Palm conduits on the Mac by hand. Please contact the Help Desk (617-521-2222, option 8; helpdesk@simmons.edu) if you are in this situation.

Meeting Maker / wireless handheld users
If you synchronize a wireless handheld (a handheld capable of sending/receiving email) with Meeting Maker on either Macintosh or Windows, please synchronize before 9pm tomorrow night, so that Meeting Maker contains any calendar changes you have made to your device, and follow the instructions Technology has provided to you.
